Position Summary
The Clinical Assistant assists providers in day to day clinic flow and delivering the highest standards of patient care by documenting the patient’s exam into the electronic health record and assist with patient education and communication. This position will perform diagnostic testing and assist with in-office procedures as directed. This position will assist with internal and external communication to patients and/or as part of the provider care team.
Essential Functions
• Assists with patient flow through clinic by greeting and rooming patients, scribing and walking patients to appropriate department (front desk, technicians, and patient care coordinators) to complete patient visit
• Treats each patient with respect by greeting them by name, introducing yourself, cleaning the direct patient contact points in front of the patient, and explaining what will happen during the exam.
• Documents patient exams in electronic health record, noting specifically the exam components, diagnoses, treatment plans, orders, medications, surgical orders, return to clinic orders and coding of visit and charges are accurate as directed by the physician.
• Provides patient and family counseling and education as needed.
• Dispense medications or over the counter samples as directed by the physician. Document dispensed medications in electronic health record.
• Reviews all chart notes and correspondence daily to ensure accuracy and completeness
• Travels with physician to various sites to ensure coordinated and effective patient care
• Set up exam room and procedure per provider preference. Assist with procedures as directed by physician.
• Prepares culture specimens including proper storage, documentation and transportation.
• Prints and dispenses glasses and contact lens prescriptions as directed by physician.
• Participates in trainings and meets requirements for Meaningful Use measures, HIPAA compliance and Protected Health Information (PHI)
• Assists with diagnostic testing including but not limited to visual field tests, photos, and OCT imaging.
• Participates in all company wide initiatives
• Open and willing to try new workflows and ideas and provide encouragement for the provider to try new workflows and ideas
• Monitors provider schedules and communicate scheduling issues clearly to managers to help understand concerns
• Remains calm at all times and reports any issues to appropriate levels of management
• Responds to patient inquiries and documents communication with patients, ensures patient communication is addressed within one business day.
• As part of the provider care team, uses critical thinking skills with triage phone calls, medication refills, prior authorizations and compounding pharmacy questions within expected timeframe, documents in EHR and escalates elevated patient or referring provider concerns or communication to the provider as needed
Other Essential Functions
• Must be willing and able to work a variety of hours and work in the various locations as needed. The locations include Hudson, Hugo, New Richmond, Stillwater, Woodbury and any partner facility.
• Must present self at the workstation, ready for work, at the scheduled time
• Works with all AEC providers
• Participates in department and company meetings, as requested
• Performs other duties as assigned
Education & Licensing
• Must be willing and able to work a variety of hours and work in the various locations as needed. The locations include Hudson, Hugo, New Richmond, Stillwater, Woodbury and any partner facility.
• Must present self at the workstation, ready for work, at the scheduled time
• Works with all AEC providers
• Participates in department and company meetings, as requested
• Performs other duties as assigned
Job Specific Skills & Knowledge
• Comprehensive knowledge of EHR system and ability to use it efficiently
• Knowledge of medical terminology

Associated Eye Care is currently seeking an Ophthalmic Assistant. This position is responsible for preparing the patient to see the doctor by performing various tests, asking patients about their history of present illness and medical history, and explaining what is next in the exam process.
Essential Functions
• Efficiently and accurately completes patient history and pre-testing for comprehensive and sub-specialty optometrists and ophthalmologists including, but not limited to tonometry, visual acuity, insertion of appropriate eye drops, pupil function, muscle evaluation, manual lensometry, confrontation visual fields, dry eye testing, visual field testing, topography, fundus photos and OCT imaging
• Provide excellent communication and customer service to patients and teammates
• Responds appropriately and promptly to patient questions within scope of role
• Accurately document information gathered during exam in accordance with AEC’s procedures and policies in NextGen EHR
• Assists provider in meeting governmental and coding requirements
• Participate in regular team meetings to ensure effective team performance
• Responsible for ongoing professional self-development

This position will be filled as either an Ophthalmic Technician, Ophthalmic Assistant, or Clinical Assistant, dependent upon the qualifications of the successful candidate.
