A Medical Assistant will perform administrative and clinical duties under the direction of a provider. Administrative duties may include maintain medical records, billing, and coding for insurance purposes. Clinical duties may include taking and recording vital signs and medical histories, preparing patients for examination, drawing blood and administering medications as directed by provider. Maintains safe, secure, and healthy work environment by following, and enforcing standards and procedures; complying with legal regulations. This position is considered to be safety sensitive Welcomes patients by greeting them: In person Via telephone Prepares patients for the health care visit by directing and/or accompanying them to the examining room; providing examination gowns and drapes if necessary; helping them to position themselves for the examination and/or treatment; arranging examination room instruments, supplies, and equipment. Verifies patient information by interviewing patient; reviewing and/or recording medical history; taking vital signs; confirming purpose of visit or treatment. Generates revenues by recording billing information of services rendered; completing insurance forms; responding to insurance and other third-party inquiries. Always performs concise and thorough documentation in patient charts. Supports patient care delivery by helping health care providers during examinations; preparing laboratory specimens; performing basic laboratory tests; disposing of contaminated supplies; sterilizing medical instruments; administering medications on the premises; facilitating refills as directed; telephoning prescriptions to pharmacies; drawing blood; performing electrocardiograms. Keeps supplies ready by inventorying stock; placing orders; verifying receipt. Responsible for monitoring desktop of assigned provider and addressing desktop items within a 24-hour period. Serves and protects the physician or health care provider practice by adhering to professional standards, policies and procedures, federal, state and local requirements. Procedure and Outside Scheduler performs various scheduling duties for providers including, but not limited to, inpatient and outpatient procedures. SUMMARY OF FUNCTIONS Responsible for scheduling procedures for physicians, keeping medical records, assisting in schedule coordination. Work with patients to ensure scheduling is completed within a timely manner. ESSENTIAL DUTIES AND RESPONSIBILITIES Verification of physician orders and triaging of scheduling. Retrieve and respond to all voicemails within 24 hours. Schedules medical procedures, imaging studies, Cardiac PET Scans, referral for Sleep studies and overnight oximetries. Scheduling of Structural Heart Studies including: TAVR, MitraClip, Watchman. Interfaces with Nursing team, and Hospital to provide accurate pre-op and post op documentation for quality measures. Schedules office and hospital based medical procedures, for patients with appropriate provider and time/location slot, utilizing appropriate scheduling protocols. Schedules diagnostic and imaging tests to be completed at contracted outside facilities. Schedules office and hospital based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency. Interfaces with appropriate vendor staff to ensure all necessary equipment will be on site for hospital-based procedures, including scheduling with contracted anesthesia groups. Interfaces with appropriate hospital staff to ensure a cohesive working relationship in providing patient care serves Documents notes/special instructions needed for scheduling in the electronic medical record. Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider. Completes accurate documentation of informed consent with patients for procedures and surgeries as needed Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients. Collaborates with billing team to confirms patient’s insurance provider and either obtains prior authorization or communicates need for prior authorization to appropriate parties as needed. Performs all aspects of patient care in an environment that organizes patient safety and reduces the likelihood of medical/health care errors. Collaborates with providers for Direct Admit orders. Manage and maintain the flow of information to all parties, using all available technologies including but not limited to EHR, desktops, practice email, calendar and internet access points. Effectively communicate with hospital staff providing required documentation and patient information for scheduled procedures. While on duty, carry and monitor procedure scheduling cell phone. Assist other members of the department as needed. Maintain strict confidentiality. Participation in new hire and annual training is a condition of employment. Other duties as assigned. QUALIFICATIONS 1 year of prior physician scheduling preferred. Medical assistant certification is required; an associate degree for medical assistants is preferred. Good communication skills and the ability to work well with people are essential. Good grooming, courtesy, and the ability to respect patients’ needs are required. Knowledge of basic cardiac medications, their uses, side effects and contraindications, knowledge of commonly used cardiac laboratory tests, ability to answer basic patient questions, or take specific questions to a physician or mid-level, basic triaging skills, basic life support certified knowledge of AHA/AMA guidelines for refilling prescriptions, knowledge of common insurances and their medication guidelines. Ability to perform complex scheduling duties. Ability to recognize and solve scheduling conflicts. Must have exceptional organizational and communication skills. Ability to maintain multiple physician procedure calendars on a day-to-day basis. Medical Administrative Assistant/Front Office Administrative Support will be responsible for a multitude of tasks that include communicating with patients, scheduling appointments, electronic medical record keeping and working within intradisciplinary team to ensure patients’ needs are met. Responsible for corresponding with patients by checking patients in, scheduling appointments and maintaining up-to-date records, maintaining the organization of our front office, and ensuring that our environment is welcoming, calm, and quiet for our patients and their families. Departmental cross training to include; incoming call switch board, checking in and out patients in the clinic, and new patient scheduling. In addition, front office administrative duties will include the regular running reports that relate to both daily operational needs of the front office and billing, as well as other supporting administrative duties and tasks, that may and will require collaborative efforts with various members of management on a regular basis. EDUCATION: High school diploma/ GED required. Medical Administrative Assistant Diploma or Certificate. An Accounts Receivable Representative will review, analyze and acquire payment on all unpaid patient insurance billing for the medical facility by performing the following duties: Review all outstanding insurance balances > 30 days old for assigned accounts following CVAM policy and procedure. Contacts insurance companies or patients by phone, websites or mail regarding outstanding balances. Maintains and develops a professional and positive relationship with the provide reps and customer service department personnel for assigned carriers. Update patient insurance and demographic information as supplied by patient, insurance carrier or internet website and file all affected claims. File corrected claims when determined that the original submission was incorrect. Review and address all clearinghouse rejects Submit claim appeals as required by each insurance carrier when denied in error. Request the assistance of a coder when necessary. Follow-up, respond, modify or appeal all zero payments within five (5) business days of receipt. Follow-up on the status of submitted appeals and corrected claims within four (4) weeks of the submission. Note and document all insurance and patient communication in the patient account. Review visit owners as assigned on a daily basis. Assist patients within the clinic with billing questions and inquiries. Uncollectible insurance balance will have thorough documentation in the patient ticket. Follow adjustment protocols. All adjustments greater than $70 will be routed to the managers work queue for review and approval. Run credit card payments, credit patient accounts and mail-patient receipts. Respond to patient billing and statement inquiries via telephone. Inform the Billing Manager, Account Representatives and Payment Poster when a consistent payment discrepancy is identified with an insurance carrier. Inform Billing Manager and Coding team when there is a payer trend/discrepancy related to coding Meter and stamp mail for any applicable envelopes. Must have excellent communication skills with both internal and external customers. Must have the ability to effectively deal with stressful situations in a calm and productive manner, while maintaining the highest degree of customer satisfaction. Always performs concise and thorough documentation in patient’s charts. Maintains strictest confidentiality and abides by all HIPAA requirements and standards.
