Carter Eye Center is searching for a professional Bookkeeper/Office Manager who is responsible for the daily monitoring of all clinic activities, accounts receivables, accounts payables, and Human Resources. This position has managerial duties of employees and resources within the practice. The Office Manager will work closely with and report to management to ensure an efficient and productive office.
Position Responsibilities:
• Accounts Receivable and Accounts Payable.
• Ensure clinics are adequately and appropriately staffed.
• Making office supply and vendor supply arrangements.
• Manage time-cards, PTO, and other out-of-office schedules for staff.
• Schedule meetings and appointments as needed.
• HR management (hiring/employee acknowledgement/corrective action/dismissal) of technician staff. Includes On-boarding, Payroll, Benefits, etc.
• General Administrative Support.
• Develop and implement job descriptions for staff.
• Monitor clinic supplies, including proper inventory management and re-orders.
• Maintain equipment and instruments in good working condition, ensuring regular maintenance is completed and all necessary repairs are made in a timely and thorough manner.
• Coordinate with IT on all office items and new updates.
• Work closely with Administrator and Doctor to address operational, HR, equipment and other concerns and issues.
Position Requirements:
• College degree preferred.
• At least 3 years previous management experience.
• Proven problem-solving and decision-making skills.
• Outstanding verbal and written communication skills.
• Professional demeanor and presentation.
• Team player.
• Respectful open communication with all clinic staff.
• High integrity, honesty and empathy.
• Previous experience as a Front Office Manager or Office Administrator is preferred.
Additional Position Responsibilities:
• Problem-solve and provide direction to staff when requested.
• Assist other technicians in fulfilling job duties as requested.
• Assign tasks to staff as needed (shared equally between both leads):
• Handbook maintenance and updates.
• Consistent attention to emails
• Incoming and Outgoing Mail
• Maintain positive morale and interpersonal/team relationships.
• Other tasks as assigned and directed.
