POSITION SUMMARY:
Established Flooring and Remodeling company that works on more than 350 jobs per year. This position plays an integral role in providing professional and effective communication to Customers regarding the process and progress of the construction of their projects. The Project Coordinator will consistently display friendly and compassionate Customer Service skills to effectively handle multiple active Customer accounts throughout the construction process. Ideal candidate will understand trades and details needed for kitchen and bathroom remodel projects and comfortable with Gantt charts. Perform duties as assigned. Work schedule: Mon-Fri (9:00am-5:00pm).
ESSENTIAL FUNCTIONS:
Review “Job File” contents (Including: Work Order, Contract, Plan and other documents and complete checklist).
• Create and modify documents using Microsoft Office. Perform general clerical duties to include but not limited to copying, scanning, faxing, mailing, and filing.
• Make “Intro Call” to Customers (within 2 working days of Job File receipt) to review the construction process. Advise Customer of the assigned schedule.
• Work with sales reps to ensure all necessary details are addressed to ensure seamless projects. This is including but not limited to finishes, selections, layout, etc. Effectively communicate all work order details to each trade in a timely manner.
• Notify customers of a rough construction schedule. Effectively communicate with customers every 5-7 days during pre-construction process and then every 1-2 days during the construction process, keeping them apprised of the progress.
• Promptly respond to voicemail messages and emails within a timely manner.
• Daily update Customer Tracking board to reflect current construction phase of each respective Customer.
• Develop and maintain relationships with each trade and crew, keeping constant communication. Request estimated completion dates and foresee any circumstances that may arise regarding scheduling.
• Alert Project Manager and others as necessary when any phase shows no progress within 2 calendar days. Coordinate any small finish and punch out items. Follow up as needed to assist in moving project forward.
• Contact Customers to inform them if phases are dropped from schedule due to internal or external issues and advise of anticipated course of action to get project back on track.
• Keep Customers informed on any Phase Payments required/due to keep construction progress on track.
• Communicate/coordinate with Sales Representatives, Crews, Project Managers and other key team members to ensure project moves smoothly through all construction phases.
• Issue Construction Change Orders as required.
• Follow up with Customer, Crew, Operations Manager, and Sales Representatives after completion to ensure/expedite closure of any outstanding issues which may prevent the project from being closed out.
• Update DropBox and customer file to accurately and thoroughly document all appropriate communications pertaining to project.
• Work with Customer to help resolve all issues/grievances and perform all other duties as assigned.
• 2+ years experience in a Customer Service environment
• High School diploma or equivalent.
• Motivated, Self-starter, quick learner, able to work independently in a fast-paced environment.
• Strong organization skills to handle multiple tasks simultaneously an provide timely follow-up to Customers.
• Previous experience managing multiple accounts in varying phases of completion.
• Strong data entry and PC skills, proficient with Microsoft Office Software.
• Excellent phone etiquette, strong interpersonal and verbal communication skills.
• Professional, customer service oriented, team player with a positive attitude.
• Flooring industry experience a plus, construction industry experience required. Bi-lingual preferred, not required.

This is a full-time position, in the showroom. Remote working is not available.
