Job Description: Intern-Administrative Assistant
Hours: approximately 20-25 hours a week, preferably in the morning
Purpose of Position
Entry level part-time position to support the Financial Specialist. This position will need to be proficient in the Microsoft Office Suite (Outlook, Word, and Excel). This post requires the ability to communicate clearly and effectively with clients over the phone and in person. Overall basic office skills, scheduling of client appointments, filing, and other tasks as assigned.
Essential Functions
Organize and filing of client records
Maintain calendar and appointments schedule
Prepare client mailings as needed
Contacting clients and prospects to schedule appointments or obtain information as deemed appropriate.
Manage clients/prospects contact and servicing via Allstate contact/data management system.
Introduce all new clients to all available office Staff and EFS
Attend office meetings
Improve office efficiency
Comply with all Agency and Company requirements, policies and procedures
Provides customer service to policyholders
o Assist customers with problems, complaints and other issues
o Take client information accurately (detailed notes)
o Notifies agent of problems occurring from support area and recommend a solution
Handle additional duties as assigned or needed to enhance clients’ experience with our agency or to assist in overall office productivity. Other tasks and duties as assigned or needed.
Essential Skills
Proficiency in Microsoft Office (Excel and Word)
Ability to listen carefully and take detailed notes
Communication Skills: communicate in a pleasant and friendly manner
o In person
o Over the phone
o Via email and texting service
Solid work ethic (showing up on time for work, ability to complete assigned tasks in a timely manner)
Good time management skills
Be comfortable working in a professional business casual atmosphere
