Position Title: Front Office Coordinator
Employee Status: Non-exempt
Reports To: Dr. Albaugh
Job Summary:
The Front Office Coordinator represents the practice in all facets of patient services, which may include, but is not limited to: greeting patients, answering the telephone, scheduling appointments, maintaining patient records, coordinating patient flow, coordinating treatment, arranging appropriate financial plans with patients, and coordinating insurance and payments. The Front Office Coordinator works closely with the doctor and staff to assure that all the business aspects of the practice are functioning in an orderly and proficient manner. The Front Office Coordinator communicates the practice philosophy through systems, problem solving and communication.
Essential Duties:
Greets visitors and patients entering the practice and alerts appropriate staff of patient arrivals.
Answers telephone, confirms appointments, routes calls, provides information, and takes messages in accordance with practice procedures.
Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, insurance information, etc.).
Communicates with patients regarding finances. Reconciles financial records by receiving and recording patient payments.
Monitors the schedule regularly, adjusts the schedule as necessary, and reschedules patients as needed.
Registers new patients, provides necessary paperwork (welcome letter, HIPPA documents), and insures all required documents are completed by the patient. Inputs all information into computer.
Introduces the new patient to the practice, demonstrates the value of treatment and the practice, and gives the new patient a tour.
Maintains systems for communicating and following-up with patients who are not ready for treatment.
Researches insurance benefits and prepares estimates on treatment diagnosed prior to discussing financial arrangements.
Prepares and sends all post-exam letters to patients/parents and general dentists.
Manages designated marketing programs such as outreach to dental professionals, contests, and promotions.
Researches patient insurance benefits on diagnosed treatment.
Coordinates patient financial arrangements according to the financial policy.
Maintains appropriate financial documentation, including signed financial agreements if financing treatment.
Monitors payments to ensure treatment financing is followed through appropriately. Follows up with patients who do not meet their financial obligations.
Verifies charts have complete insurance information.
Creates and sends statements monthly on a regular billing cycle.
Keeps practice in compliance with health regulations and OSHA.
Acts as a liaison between patients, staff, and doctor concerning problems and complaints and attempts to resolve the matter(s).
Oversees patient care by scheduling appointments, coordinating financial arrangements (including billing and insurance), maintaining patient records, and following up on delinquent accounts.
Assures that the practice property is clean, professional and well kept and that all clinical and office equipment is kept in proper working order, and arranges for landscaping/gardening or other services as required.
Knowledge/Skills/Abilities:
Knowledge of appointment coordinator procedures.
Knowledge of English composition, grammar, spelling, and punctuation.
Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software).
Ability to maintain composure and professionalism when exposed to stressful situations.
Ability to engender trust from the doctors, co-workers, and patients.
Maintain confidence with the patient regarding abilities of doctor(s) and staff.
Ability to work cooperatively with management, staff, and patients.
Ability to prioritize, organize, and complete tasks in a timely and independent manner.
Ability to accept constructive criticism.
Ability to communicate and express thoughts and ideas competently.
Ability to quickly grasp relevant concepts regarding duties and responsibilities.
Ability to greet visitors professionally and courteously.
Proficient in using conflict resolution and problem-solving techniques to manage conflict, patient complaints, and other discord.
Ability to understand and follow written and verbal instructions, to collect data, establish facts, draw valid conclusions, and maintain confidentiality.
Knowledge of financial procedures.
Knowledge of OSHA regulations and changes.
Knowledge of federal and state labor law regulations.
Education / Experience:
High school diploma or equivalent
Minimum of 1 year relevant experience in the dental profession
